How to organise a Garba night

Running Garba for a society or a mandal is mostly logistics, and the parts that go wrong are predictable. This is the order to do them in, from the ground and the permissions to the pass at the gate — written for a first-time committee rather than a commercial organiser.

Fix the ground and the nights first
Everything else depends on it. A society compound, a school ground, a maidan. Decide whether you are running all nine nights or only the weekend — smaller mandals very often do fewer, and it is better to run three good nights than nine thin ones.

Get the permissions in writing
Local police permission, and the municipal or society permission for the ground. Ask specifically about the sound cut-off time, because that is the one that gets enforced and the one that ends a night badly if you get it wrong.

Sort the sound and the light
Book early — the good local systems are gone weeks before Navratri. Agree the cut-off time with the operator in advance so nobody is negotiating it at 11pm in front of a crowd.

Decide entry before you announce anything
Free, by vargani, or a paid pass. If it is a pass, decide the price for one night and for the season, and whether outsiders are allowed. Announce it once and do not change it — changing an entry rule mid-festival is what causes arguments at the gate.

Set up the gate
Two volunteers minimum, a list or a pass to check, and one person who is allowed to make decisions. Most disputes at a Garba gate are resolved by there being somebody who can say yes.

Plan for safety, plainly
Water, a clear way out, a first-aid box, and a rule about who may enter. Have the number of the nearest hospital written down rather than looked up.
What goes wrong, most often
The sound licence and the cut-off time. Agree it in writing and tell the operator, or somebody will be arguing with the police in front of the crowd.
Passes sold with no way to check them. A pass that cannot be verified is a pass that gets shared on WhatsApp and used by six people.
No named person at the gate. Volunteers cannot make decisions if nobody has said who decides.
Money, kept clean
Count at the gate, record it the same night, and have two people sign. The point is not suspicion — it is that a committee that can show its numbers is never accused of anything.
If you collect by UPI, use the mandal’s own account and issue a receipt. A collection into a personal account is the single most common cause of a committee falling out.
Common questions
- Do we need police permission for Garba in a private society?
- For a private compound, usually society permission plus sound permission. For any public ground, police permission as well. Rules differ by city — ask locally rather than assuming.
- How late can the sound run?
- Set by local rules and often stricter during exams. It is the condition most likely to be enforced, so get the time in writing.
- Should we charge for entry?
- Many mandals do not, and cover it by vargani. If you charge, be clear about the price before announcing the event, and keep one rule for everybody.
